    Understanding the Staff Bot

    Every FOMOchat includes a Staff Bot:

    • Trained on your website content and domain knowledge
    • Responds to real visitor questions
    • Maintains professional, on-brand tone
    • Available 24/7 without human intervention

    Staff Bot Settings

    Access these settings by clicking on your Staff Bot participant card:

    Offer Email Follow-up

    What it does:
    When the AI encounters a question it can't confidently answer, instead of guessing, it offers to have your team follow up via email.

    How it works:

    1. Visitor asks a complex or unusual question
    2. AI recognizes it lacks the information to answer well
    3. AI responds: "That's a great question. I'd be happy to have our team follow up via email with more details."
    4. Collects visitor email if not already provided
    5. You receive a notification about the question

    When to enable:

    • Technical products with complex edge cases
    • Services requiring personalized quotes
    • When accuracy is more important than instant answers

    When to disable:

    • Simple products with straightforward FAQs
    • When you want the AI to always attempt an answer

    Show as Staff Bot

    What it does:
    Displays "(Staff Bot)" badge next to the representative's name and enables honest AI disclosure when directly asked.

    Badge display:

    • Appears next to name: "Sarah (Staff Bot)"
    • Visible to all chat participants
    • Signals AI-powered assistance

    AI disclosure behavior:
    When visitors directly ask "Are you a bot?" or "Am I talking to a real person?", the AI honestly responds:

    • Acknowledges it's an AI assistant
    • Emphasizes it has access to accurate company information
    • Offers to connect with a human if needed

    When to enable:

    • Transparency-focused brands
    • Industries with AI disclosure requirements
    • Building trust with tech-savvy audiences

    When to disable:

    • When the immersive social proof experience is priority
    • Very short visit durations where badge isn't noticed

    💡 Key Insight: Transparency often increases trust. Many visitors appreciate knowing they're talking to AI that has accurate information rather than guessing if responses are real.


    Auto-Save Behavior

    Both Staff Bot settings auto-save immediately when changed:

    • No need to regenerate the conversation
    • No save button required
    • Changes apply to all future visitor interactions
    • Existing active conversations update automatically

    This allows quick adjustments without disrupting your chat.


    Customizing Your Staff Bot

    Name

    Click the name field to customize:

    • Use your brand name: "Acme Support"
    • Use a human name: "Sarah from Acme"
    • Use a role: "Product Expert"

    Avatar

    Choose from presets or upload a custom image:

    • Company logo works well
    • Team member photo for personal feel
    • Custom illustration for brand consistency

    Role Badge

    The Staff Bot is marked as "Staff" (or "Staff Bot" if enabled):

    • Distinguishes from simulated customers/prospects
    • Signals authority to answer questions

    Best Practices

    1. Enable Staff Bot badge for B2B — Business buyers appreciate transparency
    2. Enable email follow-up for complex products — Better than wrong answers
    3. Use a friendly name — "Sarah" feels warmer than "Support Bot"
    4. Match avatar to brand — Consistent with your website aesthetic
    5. Keep domain knowledge current — Better knowledge = better answers
